Congress Exhibit Prospectus

CONTRACT FOR SPACE:  The information contained in this Prospectus and Space Rental Agreement constitutes a contract for the right to use the allotted space.

EXHIBIT SPACE DESCRIPTION:  The exhibit area will be in the Meeting Foyer areas of the Hilton. Each exhibitor will be provided one 8’ x 8’ space, to include one 6 ft. x 30 in. draped table and two chairs. A maximum of two exhibit spaces may be rented.  Table(s) will be free standing.  Please be advised that, while exhibit space use is unrestricted, you exhibit must be wholly contained within the exhibit space. Electrical needs should be noted on the rental agreement.  Exhibitors will pay the hotel directly for electricity.

SET-UP AND BREAKDOWN: 
Set-up will be Sunday, May 5th (3:00pm – 5:00pm) or Monday, May 6th (6:30am – 7:30am), 2013. 

EXHIBITS SCHEDULE: Monday, May 6th – 8:00am – 5:00pm
Tuesday, May 7th – 8:00am – 3:00pm
Wednesday, May 8th – 8:00am – 1:00pm
Thursday, May 9th – 8:00am – 3:00pm
Exhibit breakdown will be Thursday, May 9th (3:00pm – 5:00pm), 2013 

EXHIBIT REPRESENTATIVES:  Up to four representatives per exhibit space are included in the registration fee.  Exhibit badges permit representatives to attend all non-food functions associated with the Congress.  One (1) complimentary social package (valued @ $250) will be provided per exhibit space rented.  Additional social packages may be purchased in advance or on-site.

REGISTRATION DEADLINE:  The signed rental agreement and payment are due by OCTOBER 1, 2012 (Early Registration) or MARCH 1, 2013 (Regular Registration). 

LATE REGISTRATION:  Rental agreements and payment received after March 1, 2013 will be accepted based on availability and will be subject to an additional late registration fee of $500.00.

CANCELLATION:  Written requests for cancellations received by April 1, 2013, will be reimbursed 50% of the rental fee. Requests received thereafter will result in forfeiture of the entire rental fee. 

SHIPPING & STORAGE:  The Hilton has very limited storage space and requests that exhibit materials arrive no earlier than three days prior to the meeting. Shipping and handling instructions and details will follow.

SECURITY: It is understood that the Congress exhibit area is held in a public location of the Hilton. Security will be provided during non-exhibit hours from Sunday, May 5th through Thursday morning, May 9th, 2013; however, daily breakdown is recommended. 

LIABILITY: It is mutually agreed that the Congress and the facilities in which Congress meetings are conducted shall not be held liable to the exhibitor for any damage to, or loss, theft, or destruction of an exhibit or property of an exhibitor, or for personal injuries to the exhibitors resulting from any cause.  All claims for any such loss, damage, or injury are expressly waived by the exhibiting party upon receipt of the signed contract.

ACCME STANDARDS FOR COMMERCIAL SUPPORT: The 12th International Congress Organizing Committee has adopted the ACCME Standards for Commercial Support of Continuing Medical Education. Please refer to the ACCME web page.
